OBI COMPANY PROCESS & PROCEDURES

Regardless of what type of remodeling project you’re thinking about, all projects will start with the design and planning phase. The following write up will explain “how things work” from initial planning, through production, to the company warranty

The length of time to plan and design a project will vary depending on each client and the type of project being planned. Generally speaking, it will take between a month and two to complete the design. Then, all the material and product selections must be made. This time duration will also vary depending on how much time the client chooses to spend researching and making the required selections for the project.

1. INITIAL CLIENT/CONTRACTOR MEETING:

The purpose of the initial client/contractor meeting is to: introduce the company and it’s services to the client, discuss the clients needs, wants and objectives, design idea’s, budget amounts, explain company procedures and to determine whether our services will be of benefit to the client. If we feel our services can benefit you, then we will prepare a preliminary budget amount based on the information received during the first meeting. This will take +/- 7-10 working days. There is no fee for the initial meeting. There may be a fee incurred for the estimate depending on the complexity and scope of work of the proposed project. This will be charged at the contractor’s discretion. It is important for the owners to know that no design work will be done at this time.


2. SECOND CLIENT/CONTRACTOR MEETING:

The purpose of the second meeting is to: deliver a preliminary estimate proposal and review preliminary design ideas, budget figures, the remodeling agreement, payment schedules, change order/additional work procedure’s, our scheduling process and availability and discuss any concerns the client might have. There is no fee for the second meeting, but before Otterbeck Builders moves ahead with the project, The client must show a commitment in form of a retainer/deposit, usually between $500.00 and $2,000.00. It is at this time we will also “book” your project on our schedule. If the client chooses not to use our services at this time, any preliminary design documents remain the property of Otterbeck Builders. However, the estimate proposal is free of charge to the client (unless other arrangements have been made).


3. DESIGN & PLANNING:

As we move forward, Otterbeck Builders will begin work on the final design of the proposed project. This typically will take several meetings with the client, Otterbeck Builders and possibly an architect or designer. Also at this stage, we will provide the client with a company Guidelines Package that will include product selection sheets, a recommended list of material suppliers, showrooms, and contact information. The second part to the design stage is the material and product selection process. The client and Otterbeck Builders will make all material and product selections required to complete the job. The job schedule will also be planned at this time.





4. REMODELING AGREEMENT:

At this stage all design and planning, materials and product selections will be complete. The preliminary estimate/budget will be converted to a detailed proposal (including a full set of specifications) and adjusted to reflect the final design and material selections. Otterbeck Builders will prepare and deliver the final proposal. We will review the final proposal and answer any questions and/or concerns the client may have. We will once again review all company policies and procedures with the client. Both parties then accept the remodeling agreement.


5. SPECIAL ORDERS:

Certain materials and products specified for the project may require a “special order” (non-stock item) or significant “lead time”. It is at this time Otterbeck Builders will place all special orders.


6. PRODUCTION:

The fist step to the production stage is the pre-construction conference. This is a meeting that will be conducted with the client and the leadman (project supervisor) who will be in charge of production on the site. The purpose of this meeting is to introduce the client to the leadman and “pass the baton” from design and planning to production. This meeting will take place a minimum of one week prior to the start date. The second part of production is the actual commencement of the work itself. Every attempt will be made to follow and remain on the pre-planned job schedule. Depending on the type and size of your project, we may also require weekly client/contractor organization and planning meetings. The final step of the production stage is the “Pre-completion” walk through.




7. AFTER COMPLETION:

Congratulations! You job is complete! Even though your project is complete and we are gone, we are still here for you.
